Amazon Negative Reviews: How to Respond, When Removal Is Allowed and How to Recover Your Rating
)
On a negative product review, a seller can request removal only if it breaks a specific guideline; otherwise it stays, and a public reply is not possible, so the only route is contacting the buyer privately. On negative seller feedback, a seller can reply publicly and request removal for a defined set of reasons, within a window for doing so. This guide covers both: what qualifies for removal, how to respond well, templates, and how to recover your rating afterwards.
Product review vs seller feedback: which one you are looking at
A product review rates the item and lives on the listing page; seller feedback rates your performance as a seller, shipping, service, communication, and lives on your seller profile. The two get mixed up constantly: a buyer venting about a late delivery in a product review, or a product complaint left as seller feedback, are both misfiled, and both are grounds for a removal request on that basis alone. Knowing which one you are looking at decides which removal rules and which reply options apply.
Our guide to Amazon review management covers the two systems side by side and how to monitor both.
When Amazon will remove a product review
Amazon will consider removing a product review that violates its guidelines: inappropriate or hate-speech content, a one-word review with no substance, promotion of illegal conduct, an outright promotional post, content that is actually about seller service rather than the product, or several negative reviews of the same product from one unhappy buyer. It will not remove a review just because it is negative, feels unfair, or is wrong about the product in the seller's opinion; that is a legitimate customer opinion and stays.
To request removal, use both available routes: "Report abuse" on the review itself (state the specific guideline it breaks), and a case through Seller Support with the same detail. Neither guarantees a result. Seller Support passes review cases to a separate team that does not use the case system, so the case shows as closed and Amazon does not share the outcome of its investigation; the review either disappears or it does not. A specific, guideline-referenced request has a real chance where a vague one does not, and reporting every one-star review regardless wastes the team's time and yours.
When Amazon will remove seller feedback
Seller feedback qualifies for removal when it is actually a product review misplaced as feedback, contains obscene language or personal information, or is fulfilment feedback (delivery, packaging, returns) on an order Amazon itself fulfilled through FBA. A request through Seller Support citing the specific reason tends to move quickly when the content clearly matches one of these categories; we have seen a misfiled product review removed from a seller's feedback within minutes of the request, and the account health rating recover with it.
Responding to a negative review or feedback
On a product review, there is no public reply available to a seller. The route is private: identify the order from the reviewer's name, date and the ASIN, then contact the buyer through Buyer-Seller Messaging, phrased as a proactive follow-up to the order rather than a response to the review. Never mention the review, the rating, or ask the buyer to change anything.
On seller feedback, a public reply is available, and it is the right tool: acknowledge the issue, explain what you did or will do, and stop there.
Keep the whole exchange on Amazon. Taking it to a phone call or a personal email removes the record that shows Amazon you handled the problem properly, and a buyer who later writes that you contacted them off-platform and offered something to change their review has handed Amazon a manipulation case against you.
A simple four-step method covers most cases:
Acknowledge. Do not argue or explain away the complaint first.
Fix. State the concrete resolution: replacement, refund, correction.
Offer the route. Point to Buyer-Seller Messaging or the feedback reply, whichever applies, for anything that needs more detail.
Stop. Do not ask for anything in return, not a changed rating, not a removed review, nothing.
Buyers do sometimes revise a review after a problem is fixed well; that has to be their own decision, reached without being asked.
Reply templates
Five templates, each written to resolve the issue without referencing the review or asking for anything in return. Every message has to stay inside the Amazon Communication Guidelines.
Damaged item
Hi [name], sorry to hear your [product] arrived damaged. I'd like to send a replacement or issue a refund, whichever works better for you. Just reply here to let me know.
Why it stays inside policy: offers a concrete fix, no mention of the review or rating, no incentive attached.
Late delivery
Hi [name], I'm sorry your order arrived later than expected. [Brief factual reason if known.] I've flagged this with our shipping process so it doesn't happen again. Let me know if there's anything else I can help with.
Why it stays inside policy: factual, takes responsibility, offers no discount or reward for reconsidering.
Wrong expectation about the product
Hi [name], thanks for the detailed feedback, it really helps. If [product] isn't the right fit, I'm happy to help with a return or exchange, just reply here.
Why it stays inside policy: acknowledges without arguing, offers a standard resolution, no request to reconsider the review.
FBA fulfilment issue
Hi [name], sorry about the issue with your delivery. This order was fulfilled by Amazon, and I've noted the details on our end. In the meantime, I'm happy to help directly, just reply here.
Why it stays inside policy: takes ownership of the customer relationship without disputing responsibility publicly, offers direct help.
Feedback that is actually a product review (public feedback reply)
Thanks for your comment. It looks like this note is about the product itself rather than our service; we've asked Amazon to review it, and we'd still like to help directly if you have a service concern, so please reach out through Buyer-Seller Messaging.
Why it stays inside policy: factual, does not dispute or argue, points to the correct channel without asking for removal or a rating change.
Recovering the rating
Fix the cause first: tag what the review or feedback was actually about (sizing, damage in transit, missing instructions) and route it to whoever owns that part of the business. A pattern across several reviews is a listing or process problem, not bad luck.
Then keep earning compliant reviews on the affected ASIN; a handful of negative reviews matters much less against a healthy, growing base than in isolation, and shoppers read a mix of ratings as more credible than a wall of five stars. Our guide to how to get reviews on Amazon covers the approved routes.
Check monthly: review count and rating trend by ASIN, response rate on negative reviews and feedback, and whether removal requests are being submitted for anything that actually qualifies.
Handling negative reviews from the support inbox
An alert on a new negative review or piece of feedback arrives as a ticket with the order already attached, so whoever picks it up is not starting from a bare reviewer name. The reply and, where it qualifies, the removal request happen from the same screen, with the reasoning logged as an internal note rather than lost in someone's memory.
Tagging the issue at the point of reply feeds a report by ASIN, so a recurring cause surfaces on its own rather than needing someone to notice the pattern by hand. eDesk's Amazon feedback software does this beside buyer messages; our Amazon helpdesk software page has the full setup across marketplaces.
Frequently asked questions
Can I delete a negative review on Amazon?
Not directly. You can request removal if it breaks a specific guideline: obscene content, personal information, or content that is really about your service rather than the product. A negative review that is simply a fair, if unwelcome, opinion stays.
How do I report a review that breaks Amazon's guidelines?
Use "Report abuse" on the review itself, and separately open a case with Seller Support citing the same guideline. Using both routes gives the request the best chance.
Can sellers reply to product reviews on Amazon?
Not publicly. The available route is contacting the buyer privately through Buyer-Seller Messaging, framed as an order follow-up rather than a response to the review.
Can I ask a customer to change their review?
No. Asking a reviewer to change or remove a review, even after resolving their issue, breaks Amazon's policy regardless of how it is worded.
How do I remove negative seller feedback?
Request removal through Seller Support if it matches a qualifying reason: a misplaced product review, obscene content, personal information, or FBA fulfilment feedback. A tool like eDesk can flag the qualifying cases and route the request from the same screen as the reply.
